Integrations
Check the Infloww and Hubstaff connections, how fresh the data is, what needs attention, and run a sync now.
What it's for
Most numbers in the app come from Infloww (creators, sales, chatters) and Hubstaff (staff, hours, hourly rates). The app copies their data on a schedule, a "sync", and never changes anything in them. Settings → Integrations shows whether both are connected, how recent the copied data is, what is missing, and lets you start a sync right away.
Before you start
- You're signed in as an Administrator.
- The Infloww and Hubstaff keys are set up by the owner. You can't enter them on this page.
Steps
Open the page
In the menu on the left, click Settings → Integrations. The page says "Infloww and Hubstaff are connected read only: the app reads their data and never changes it."
Check each connection
There is one card for Infloww and one for Hubstaff. Each shows Read only and Configured (or Not configured), and what it feeds:
- Infloww: "Dashboard, Creators, Financials and chatter commissions in Payroll".
- Hubstaff: "Hours and hourly rates in Payroll, and hours in My analytics".
Click Test connection to check that the app can reach the platform. It only asks for a little data and saves nothing. The result shows Connected or Failed, a message and how long it took, for example "Connected. The read-only test request succeeded." The button is greyed out when the platform isn't configured.
Check how fresh the data is
Data freshness lists each kind of data (Creators, Creator metrics, Transactions, Refunds, Employees, Employee metrics, Members, Daily hours), how often it is Refreshed (Every 15 min or Hourly), its Last update, the number of Rows and a Status:
| Status | Data refreshed every 15 minutes | Data refreshed hourly |
|---|---|---|
| Fresh | updated in the last 45 minutes | updated in the last 3 hours |
| Stale | up to 6 hours old | up to a day old |
| Outdated | older than that | older than that |
| Never synced | never copied yet | never copied yet |
Fix what needs attention
Needs attention ("Gaps that make numbers incomplete, and recent sync failures.") lists:
- syncs that failed, with the time and message, marked Resolved (a later run worked) or Unresolved;
- gaps, each with a count and a Review button: Hubstaff members not linked to an employee, active Infloww employees without a profile, employees missing a link their role needs, Hubstaff changes that couldn't be applied, linked employees who left Hubstaff, real employees missing a role or pay rule, and Infloww creators with no assigned chatter.
Review opens the page where you fix it: Employees, Infloww & Hubstaff links or Creators. When nothing is wrong: Everything is linked, "No gaps and no failed syncs."
Read the schedule, or run a sync now
Sync schedule says "Syncs only pull data into this app; nothing is written to Infloww or Hubstaff. Each job runs automatically. Run now starts the same pull right away."
| Job | What it copies | When it runs |
|---|---|---|
| Live sync | Today's revenue, creator and chatter numbers, Hubstaff hours and the people directory | Every 15 minutes |
| Quick sync | The last 3 days and every period (1, 7, 30 and 90 days) | Every hour, at 35 minutes past |
| Full sync | The last 35 days, plus assignments, links, messages and invoices | Every night (around 2:50 AM New York time in summer, 1:50 AM in winter) |
Each row shows the Next run (for example "in 12 min" and the time) and the Last run. Click Run now to start that job immediately. The message says, for example, Quick sync started. Its progress shows below. For the full sync: Full sync started. It takes a few minutes; its progress shows below. While a job runs, its button reads Running… and is greyed out.
While any sync runs, a Syncing now card appears above Sync schedule. It has one bar per job (the people directory, Infloww and Hubstaff run separately) with the step it is on, for example Step 4 of 6: Creator metrics, and the time it started. The card updates by itself every few seconds and disappears when the jobs finish; Last run and Sync history then update without reloading the page.
Look at past runs
Sync history keeps every run for 30 days. Click Show the last … runs to see each run's Job, Status, Started time, number of Items and Message. Before any run: No syncs yet, "Use Run now on the quick sync to load Infloww and Hubstaff data."
What you should see
- Both cards show Configured, and Test connection gives Connected.
- Most rows in Data freshness are Fresh.
- After Run now, the Syncing now card shows each job's progress, and when it disappears the job's Last run shows the new time and a new row appears in Sync history.
Test checklist
Good to know
- Test connection checks the keys only; Run now actually copies fresh data. Neither one changes anything in Infloww or Hubstaff.
- If a job is already running, Run now starts nothing extra, even though the message says it started.
- Opening Overview, Creators, Financials or My analytics also starts a live sync in the background when the Infloww data is more than 10 minutes old. You see the newer numbers on your next visit.
