Infloww & Hubstaff links
Confirm which Hubstaff member belongs to which employee profile, and sync the people from Infloww and Hubstaff.
What it's for
Real staff come from Infloww and Hubstaff, and the app only reads from them. Each Hubstaff member must be linked to one employee profile so their name, email, time zone and hourly rate stay up to date. Nothing links on its own: you confirm each link on this page.
Before you start
- You're signed in as an Administrator.
- Infloww and Hubstaff are connected (see Integrations).
Steps
Open the page
On People → Employees, click Infloww & Hubstaff links. The page says "Real staff come from Infloww and Hubstaff (read only). Confirm each Hubstaff link; nothing links automatically."
Check the last sync
The top line shows Last sync: with the date and time (New York time), the result of that run and its message. To pull the people again now, click Sync Infloww and Hubstaff. The message is Sync started. Refresh in a minute to see the results.
If a box Not fully configured shows, it says Infloww credentials are missing. or Hubstaff credentials are missing.: ask the owner.
Read the cards
Hubstaff members, Linked, Suggested matches ("Confirm each one") and Real employee profiles ("From Infloww and Hubstaff").
Link a member to a profile
Each row of the table shows a Hubstaff member and their Employee profile. A member who isn't linked shows Not linked and a list Choose an employee. When the app has a suggestion, it's already picked and marked Suggested by email or Suggested by name.
Check the choice and click Link. The message is Linked. The profile takes Hubstaff's first name, last name, email and time zone, and its login email changes too.
If the member has no profile yet, click New profile to open Add employee with this member picked.
Unlink a member
On a linked row, click Unlink. The message is Unlinked. The profile keeps its current values, which become editable again, and its hourly rate stops following Hubstaff.
What you should see
- Under each member's name: Linked or Not linked, Left Hubstaff for someone who left, and Owner for the Hubstaff account owner, then their email (or No email) and their Hubstaff ID.
- A linked row shows the profile's name as a link to the profile.
- A red line under a member when a change from Hubstaff couldn't be applied, for example because their new email already belongs to someone else: "… One person is one employee: link Hubstaff to that profile instead."
- Before the first sync: No Hubstaff members yet, "Run the sync to load the people from Infloww and Hubstaff."
Test checklist
Good to know
Unlink acts at once, with no "are you sure?" question. On shared data, don't link or unlink real staff while testing unless the owner agrees.
