Client invoices
Bill a client the HEIGHTS fee of its unpaid weeks, download the PDF, and mark it paid.
What it's for
A client invoice bills a client the HEIGHTS fee of its unpaid weeks from the Client payouts page. You pick a date range, the app gathers the weeks, gives the invoice the next number (for example HA-2026-0001) when you issue it, and makes a PDF you send to the client yourself. When the client pays, you mark the invoice paid and every week on it becomes Paid at once.
These are not the Infloww invoices on Analytics → Financials: those are what Infloww bills the agency.
Before you start
- You're signed in as an Administrator. Your role needs See client payouts to see invoices and download them, and Edit client payouts to create, issue, pay or void them.
- The client has unpaid weeks on its Payouts page.
- The client has a Billing name (see Clients). An invoice can't be issued without one.
- The agency's payment methods are filled in on Settings → Billing (or the client has its own).
Steps
Open a client's invoices
Click Management → Clients, open the client, then click Invoices at the top right (the client's Payouts page has the same button). The title is the client's name followed by "invoices".
The table lists Invoice, Period, Issued, Status and Total. The tabs above it (All, Draft, Sent, Paid, Void) filter the list, and the tab you pick stays in the page address. With no invoices you see No invoices yet.
Create a draft
Click New invoice. A panel opens on the right:
- From (ET) and To (ET): the dates of the weeks to bill. They start on the day after the last invoice ended and end today. Change them and the list below follows.
- One box per page, with its page type and the fee of its ticked weeks. Each line is a week ("Week ending …") with its HEIGHTS fee. Only weeks that are unpaid, not voided and not already on another invoice are listed. Untick a week to leave it out, or untick the page to leave out all of its weeks.
- The grey bar at the bottom shows how many weeks are ticked and the Total.
Click Create draft. The message Draft invoice created. appears and the draft opens.
Check the draft
The draft page shows the invoice as the client will see it: INVOICE, BILLED TO, the date, one line per page ("OnlyFans Account — page name (page type) — (8/21/26 - 8/30/26)") with its Total Due, the Total, and PAYMENT METHODS. A DRAFT mark sits in the corner.
While it is a draft, the billing details and payment methods come from the client and Settings → Billing, so a change there shows up here. You can:
- Download PDF: the same invoice as a PDF file, marked DRAFT.
- Delete draft: deletes it; its weeks can go on another invoice.
- Issue: see the next step.
Issue it
Click Issue, then Issue invoice. The invoice gets the next number of the year (HA-2026-0001, then HA-2026-0002 …), its status becomes Sent, and the billing details and payment methods are copied onto it. From now on nothing on it changes, even if you edit the client.
To send it, click Send by email, then Send email. The client's billing email gets the invoice with the PDF attached, and replies come back to the agency. The page then shows Emailed to the address and the date. To send it again (for example after a typo in the address, fixed on the client page), click Send again by email. You can still click Download PDF and send the file yourself.
Mark it paid
When the client has paid, open the invoice and click Mark paid. Pick Paid on (ET), add a Payment reference if you have one, and click Mark paid. The status becomes Paid with the date, and every week on the invoice is marked Paid on the Payouts page with the same date and reference. The client's Balance owed drops by the invoice total.
Void it
If a sent invoice is wrong, click Void, say why in Reason and click Void invoice. It keeps its number but no longer counts, and its weeks are free to go on a new invoice. A void invoice can't be downloaded or changed.
What you should see
- Messages at the bottom of the screen: Draft invoice created., Draft deleted., Invoice HA-… issued., Invoice marked paid. and Invoice voided.
- Total = the sum of the lines = the HEIGHTS fee of every ticked week. An invoice never works out a fee again: it uses the fee saved on each week.
- On the Payouts page, a week on an invoice says On invoice HA-… (or On a draft invoice) under Paid, with a link to the invoice. Its ⋯ menu is replaced by On a draft or Settled by invoice: change it through the invoice instead.
- On Analytics → Financials, the Client balances card has a column On open invoices: the total of the client's sent invoices that aren't paid yet.
Test checklist
Good to know
You are testing on real data
The test app shares its data with the live app. An issued invoice uses up a real invoice number, and marking it paid marks real weeks paid. Test on a test client only, and void your test invoices when you're done.
Every change (create, issue, pay, void, delete) is written to the app's own record of changes, with who did it and when. If two administrators change the same invoice at once, the second one is asked to reload and try again.
The app doesn't move money. Send the invoice by email (or download it), and mark it paid when the money arrives. Part payments aren't supported: mark it paid when it is paid in full.
Automatic drafts every Monday
If Automatic invoice drafts is switched on in Email settings, every Monday at 9:00 AM New York time the app drafts one invoice for each client that has a billing email and unbilled weeks up to the Sunday before. A client that already has a draft is skipped. Then everyone who can edit client payouts gets one email, N invoice drafts ready to review, with a link to each client's invoices. Nothing goes to clients: you check each draft, then Issue and Send by email as above. Switched off, nothing is drafted.
