Financials
Agency share, costs, payroll and margin, with five tabs for the money side of the agency.
What it's for
Analytics → Financials is where the agency's own money lives: what the agency keeps from creator revenue, what it spends, what it pays staff, and what is left. It has five tabs:
| Tab | What it holds |
|---|---|
| Overview | Agency share, expenses, payroll cost and margin, plus two rings |
| Expenses | The cost ledger: record, edit and void expenses |
| Agency rates | Each creator's rate: change a rate |
| Commission | Commission paid to employees, and what the agency keeps per creator |
| Infloww invoices | What Infloww charges the agency, read only |
Before you start
- You're signed in as an Administrator.
- To change anything (an expense or a rate) your role needs Edit expenses. The built-in Administrator role has it.
Steps
Open the page
In the menu on the left, click Analytics → Financials. The title is Financials and under it "Agency revenue, expenses, payroll cost and margin."
Choose a tab
The five tabs sit under the title. The period buttons (Today, 7 days, 30 days, 90 days) show on Overview, Agency rates and Commission. They are not shown on Expenses (which has its own From and To dates) or on Infloww invoices (which always shows the newest invoices).
Read the Overview tab
Four cards:
- Agency share — "Net revenue × agency rates"
- Expenses — "Recorded in the ledger"
- Payroll cost — "Approved + paid, real staff"
- Margin — "Agency share − expenses − payroll". It turns amber when it is negative.
Then two rings: Creator contribution ("Net revenue by creator.") and Where the money goes ("Recorded expenses by category.").
Last, the Client balances card lists every client that still owes the HEIGHTS fee for some weeks: Client, Unpaid weeks, Oldest unpaid week and Balance owed, with the total on the last line (All clients). Click a client to open its payouts. When nobody owes anything it says "No client owes anything." Your role needs See client payouts to see this card.
Read the Commission tab
Employee commission — "From approved and paid payroll in this window (real staff only)." — lists Employee, Sales base and Commission. Names link to the employee profile. With nothing to show it says "No commission paid to real staff in this window yet."
Agency commission by creator — "What the agency keeps from each creator in this window." — lists Creator, Net revenue and Agency share.
Read the Infloww invoices tab
Infloww invoices — "Software cost from Infloww, read only. Not part of the expense ledger totals." The columns are Billing period, Invoice, Total, Paid and Balance due. At most the 24 newest invoices are shown, and the list is re-read once a night. With nothing to show it says "No invoices synced."
What the numbers mean
- Agency share = each creator's net revenue × that creator's own rate, added up.
- Expenses = everything you recorded in the ledger with a date inside the period. Voided expenses never count.
- Payroll cost = the approved and paid payments of real staff, on payroll weeks from the Monday of the week the period starts in. It is each payment that must be Approved or Paid, not the whole week: a week that is still open already counts its approved payments. Pending and skipped pay never counts. Because whole weeks count, a "7 days" period usually covers two payroll weeks.
- Margin = agency share − expenses − payroll cost.
A worked example: agency share $2,000, expenses $300, payroll $1,200 → Margin $500. Raise the expenses to $2,500 and the margin becomes -$1,700, shown in amber.
Balance due on an Infloww invoice is the total minus what has been paid, and never less than $0. The Outstanding invoices card on Overview adds these up.
What you should see
- The same freshness badge as the other analytics pages, top right.
- Switching tab keeps the period you chose.
- The rings fill in once there is revenue and at least one recorded expense.
Test checklist
Good to know
Creator payouts are not tracked here. The agency pays creators through Wise, outside the app. The Infloww invoices are the agency's own software bill and deliberately stay out of the expense totals.
When the app holds only test people, Payroll cost reads $0 and the Employee commission card stays empty, because test people are left out of the agency's money numbers on purpose.
View-only roles
A custom role with Agency analytics but without Edit expenses sees the ledger and the rates without the Record expense, Edit, Void and rate Save buttons.
