An employee's profile
Read everything about one employee, and edit their details, role and links.
What it's for
A profile gathers everything about one employee: what Infloww and Hubstaff know about them, their employment and contact details, whether they can sign in, their pay rules and their strikes. You also change their role, their links and their details here.
Before you start
- You're signed in as an Administrator.
- The employee exists (see Add an employee).
Steps
Open the profile
On People → Employees, click the person's name. The top of the page shows their name, their role and email, a Test badge for test records, their status badge and the Edit profile button.
Read what Infloww and Hubstaff say
The Integrations card ("Read-only data from Infloww and Hubstaff.") has two rows. Each shows Not linked or the account's ID. Click a row to open it:
- Infloww: Name in Infloww, Status, In Infloww since, Assigned creators (or None synced), Sales (30 days), Messages (30 days) and Last synced.
- Hubstaff: Name in Hubstaff, Email, Role, Status, Time zone, Hours (last 14 days) (or No time synced yet), Activity (last 14 days) (the share of that time with keyboard or mouse use, as Hubstaff measures it; a dash when unknown) and Last activity.
You can't change anything in this card: it only shows what the two platforms report.
Read the details
- Employment: Shift, Hire date, Termination, Country, Time zone, Birthday and Referred by. An empty field shows a dash.
- Contact: Email, Phone, Discord, Telegram, Preferred and the contact notes.
- Systems and access: Portal login (the login email and role, with (disabled) if access was removed, or No portal access) and Infloww employee.
- Payment and internal: Method, Payee and the internal notes.
Check pay and strikes
On the right are the person's pay cards, Pay rules and Raise history (see Pay rules), and the Strikes panel, which says that strikes are "a record only, never shown to the employee and no effect on pay." It shows This month (the count and a status such as Active – 1 strike), Last 90 days and All time. The panel has its own Record strike button (it records the strike for this person, so there is no Employee box), lists voided strikes too (marked Voided), and has Edit and Void on each active strike. See Strikes.
Edit the profile
Click Edit profile. The page Edit followed by the person's name opens, with the same cards as Add an employee. Change what you need and click Save changes, or Cancel to go back.
- To change the role, pick another Role in Linked accounts.
- To unlink Hubstaff or Infloww, open the picker and choose Not linked.
- To give or move a login, use Existing portal account (the Give portal access switch only exists when adding a new employee; you can also use Access).
- To retire someone, set Status to Terminated and fill in the Termination date.
What you should see
- After Save changes the profile opens again with your changes.
- If you changed the role, the person's login gets the same role: their menu changes the next time they click anywhere, without signing in again. People → Access shows the new role too.
- If the profile is linked to Hubstaff, First name, Last name, Email and Time zone are greyed out with From Hubstaff in the edit form. Preferred name, Hire date and the other fields stay yours to edit.
Test checklist
Good to know
- Hubstaff owns a linked person's first name, last name, email and time zone. The app copies them from Hubstaff about every 15 minutes, so anything typed there is replaced. Their login email follows too.
- Profiles can't be deleted. Their payroll and history are always kept.
- On a Test profile, the Linked accounts card says "Test profiles cannot be linked to real Hubstaff accounts." and both pickers read (optional), whatever the role.
Known issue
There is no "saved" message after Save changes, and after a failed save some fields can jump back to their earlier value. Check the form before saving again.
