Give part of a task to someone
Split one of your tasks into subtasks for chatters and schedulers, with Add subtask.
What it's for
When a task an administrator gave you has several parts, you can hand parts of it on. Each part is a subtask: a small task of its own, for one chatter or one scheduler. They see it on their own My tasks, with "Part of" and the title of your task. You follow it on your Delegated tab.
Before you start
- You're signed in as a Manager.
- You hold an open task (To do, In progress or Blocked) that is not a subtask itself. An administrator gives it to you.
- There is at least one active Chatter or Scheduler. You can't give subtasks to other managers, administrators, social media VAs or creators.
- While testing, split a "TEST task" and give the subtask to the test Chatter or Scheduler account, never to a real person.
Steps
Open your task
On Management → My tasks, tab Assigned to me, click the task card. The panel opens on the right.
Find the Subtasks part
Under the instructions you see Subtasks. If there are none yet: "Split this task: give part of it to a chatter or a scheduler." Click Add subtask.
Fill in the subtask
A panel Add subtask opens on the right. Under the title: "Part of" your task's title, then "Subtasks go to people who don't delegate, such as chatters and schedulers."
- Title: what to do, 3 to 140 characters. You must fill this in.
- Instructions: the details (optional, up to 5,000 characters).
- Assign to: click Choose a person and pick the chatter or scheduler. The list is grouped by role.
- Due date (ET) (optional): today or later.
- Priority: Low, Normal (picked first) or High.
Send it
Click Assign subtask.
What you should see
- A message at the bottom right: Subtask assigned.
- On your task, Subtasks lists the new subtask with the person's name and its status, and the card shows "0/1 subtasks done".
- Your task's History shows "Added subtask" with its title and the person, for example "Added subtask “Send the photos” for Jane Example."
- The subtask's History shows "Created as a subtask of" your task's title "and assigned to" the person.
- The subtask is on your Delegated tab, and on the person's own My tasks with "Part of" and your task's title.
If something is wrong, a red message shows under the field:
| Message | What it means |
|---|---|
| Give the task a short title. | The title has fewer than 3 characters. |
| Choose who does it. | Pick a person. |
| Choose an active person you can delegate to. | That person can't get subtasks from you (or lost their access). |
| Keep it under 5,000 characters. | The instructions are too long. |
If the list Assign to is empty, it says "Nobody can be given this yet."

Good to know
A subtask is the chatter's or scheduler's to work. You can follow it, comment on it and edit it, but only they (or an administrator) change its status. See Follow what you delegated.
You are testing on real data
The test app shares its data with the live app. A task you give really lands on that person's My tasks. Use TEST tasks (a title that starts with TEST), give them only to the test accounts (the test Chatter, Scheduler or Creator), never to a real person, and finish them (or ask an administrator to cancel them) when you're done.
You can't attach a file to a subtask. Only an administrator can add files to tasks. Put links or details in Instructions instead.
If an administrator gives your task to someone else, its subtasks leave your Delegated tab: they follow the task.
