My tasks
Your own task list, the Delegated tab with what you handed on, and how the two fit together.
What it's for
My tasks is your work list. The first tab, Assigned to me, holds the tasks an administrator gives you, soonest due first. The second tab, Delegated, holds what you handed on: the parts of your tasks you gave to chatters and schedulers, and the tasks you gave creators.
A Manager can't create tasks for the team from scratch: that is an administrator's job on the Tasks board. You split the tasks you hold, and you give creators tasks.
Before you start
- You're signed in as a Manager.
- An administrator gave you a task. If you have none, ask an administrator to give you a "TEST task" with a due date.
- The Delegated tab and its buttons appear only when there is someone to delegate to: at least one active Chatter or Scheduler, or at least one creator with a login.
Steps
Open My tasks
In the menu on the left, click Management → My tasks. The title is My tasks. Under it: "Work assigned to you, soonest due first."
Switch between the two tabs
- Assigned to me: your own work.
- Delegated: what you handed on. When some of it is still open, the tab reads, for example, Delegated (2 open).
On the right of the filter, the button Task for a creator gives a creator a task. See Give a creator a task.
Read the four boxes
At the top of each tab you see four numbers, for the tasks on that tab:
- Open tasks: tasks that are not finished.
- Overdue: open tasks whose due date has passed. The box turns orange when it is more than 0.
- Blocked: open tasks marked Blocked.
- Done this week: tasks finished since Monday, for example "Since Mon, Oct 20".
Filter the list (optional)
Click the list that shows Open. Pick Overdue, To do, In progress, Blocked, Done, Cancelled or All tasks. Open is picked when you arrive.
Read a task card
Each task is a card. It can show:
- the title and the status (To do, In progress, Blocked, Done or Cancelled),
- "Part of" and another title, when it is a subtask,
- the first lines of the instructions,
- on the Delegated tab: the name of the person doing it, and a Creator label for a creator's task,
- a creator account, the due date (for example "Due Wed, Oct 22"), a red Overdue label, a High priority label,
- "1/3 subtasks done" on a task you split,
- "Attachment" with a paperclip, when there is a file.
Finished tasks look lighter.
Open a task
Click a card. A panel opens on the right. For your own tasks, see Work on a task. For the ones on Delegated, see Follow what you delegated.
What you should see
- On Assigned to me: only the tasks given to you. The cards don't repeat your name.
- Open tasks first, the soonest due date first. Tasks without a due date come after.
- No New task button and no list to choose a person: those are on the administrator's Tasks board.
Empty pages:
- No task given to you: No tasks assigned to you and "Tasks you're given appear here."
- Nothing handed on yet: Nothing delegated yet and "Open one of your tasks and add a subtask for a chatter or a scheduler. Use “Task for a creator” to give a creator something to do."
- The filter hides everything: Nothing matches this filter.
Test checklist
Good to know
Overdue is a label. If your agency has switched on task reminders, you also get an email on the morning a task is due, and one more the next morning if it's still open.
The app doesn't send an email when someone gets a task yet. Tell the person, or check the task's History.
You are testing on real data
The test app shares its data with the live app. A task you give really lands on that person's My tasks. Use TEST tasks (a title that starts with TEST), give them only to the test accounts (the test Chatter, Scheduler or Creator), never to a real person, and finish them (or ask an administrator to cancel them) when you're done.
Known issue
The status filter is shared by both tabs. Set it to Done and both Assigned to me and Delegated show only finished work.
