How pay is calculated
The rules payroll follows to turn pay rules, hours, sales and posts into the amount due.
What it's for
This page explains how the app works out each weekly payment, so you can check the numbers on Payroll by hand. Every rule here is something a tester can confirm.
Before you start
- You know where pay rules are set: Pay rules.
- You know how to generate a week and edit a payment: Payroll.
The rules
Who gets a payment line
Everyone whose status is Active or Onboarding, whose hire date is on or before the Sunday of the week, and whose termination date (if any) is on or after the Monday. People without a login are included.
Someone Terminated gets a line for the week their termination date falls in, and none after it. A Terminated profile with no termination date gets no line, so always fill in the date.
The week
A payroll week runs from Monday to Sunday, New York time.
Which rate counts
- Hourly rate, commission and weekly salary: the rule in force on the Monday of the week. A raise that starts on a Wednesday counts from the next week.
- Pay per post: the per-post rate in force on each day a post was logged.
- No rule means $0 for that part.
- Only commission rules for All creators count. A commission for one creator is ignored for now.
Each part of the payment
| Part | How it's worked out |
|---|---|
| Hourly pay | Hours × hourly rate. For people linked to Hubstaff, the hours are all their Hubstaff time for the week, Monday to Sunday (New York time), filled in on Generate payroll and Refresh calculations. Hubstaff's tracked time already includes manual and idle time, so all of it is paid once. For everyone else, hours are typed in Edit (0 to 168, up to 2 decimals) and a new line starts at 0 hours. |
| Commission | Commission base × commission %. The base is the chatter's net sales for the week (what is left after the platform's fee) of the counted sale types, plus their share of uncredited sales from the shift schedule, plus their manual credit lines, minus reversed sales. Never below $0. See Commission base below. |
| Post pay | Posts the person logged on My posting that week × the per-post rate of each day. |
| Weekly salary | The weekly salary rule. In a week someone starts or leaves, they get the share for the days they were employed, out of the 7 days of the week: hired on a Thursday, they get 4/7 of the salary (Thursday to Sunday). The hire date and the termination date both count as days worked. |
| Other pay, Bonus, Deduction | Typed by hand in Edit. |
| Monthly bonus | The chatter's monthly sales bonus, added on their first Pending week after the month is closed. Not typed: it comes from Monthly sales. |
Amount due = hourly pay + commission + post pay + weekly salary + other pay + bonus + monthly bonus − deduction, rounded to the cent. It is never below $0.00.
Commission base
From the first week of the current commission setting (Settings → Payroll), commission is paid on net sales:
- Infloww: the net of the sales Infloww credited to the chatter that week, counting only the sale types checked in Settings → Payroll (by default Messages and Tips). Subscriptions and posts don't count unless they are checked.
- Shift schedule: sales Infloww credited to nobody (counted types only) go to the chatters scheduled on that creator page at the time of the sale, on Operations → Shift Schedule. With two or more chatters on the page and shift, the sale is split equally; any leftover cent goes to the first by name. A sale Infloww credited to someone is never moved.
- Manual: credit lines a manager or administrator added on People → Sales credits, for sales nobody was credited with. A line can be negative to take sales off.
- Reversed: credited or scheduled, counted sales that were undone or are being returned. They are taken off.
Commission base = Infloww + Shift schedule + Manual − Reversed, never below $0.00.
Weeks before the first commission setting keep the old rule: commission on gross sales (before the platform's fee), every sale type.
Under the name on each payroll line with a commission rate, a second grey line shows the basis, for example "Commission on net (Messages, Tips) · Infloww $1,600.00 · Shift schedule $300.00 · Manual $50.00 · Reversed −$80.00". Shift schedule, Manual and Reversed only show when they are not zero. Older lines read "Commission on gross". Click Details at the end of that line to see where the base comes from, by day, creator and source (Infloww, Shift schedule or Manual), with "Split 2 ways" when a sale was shared. The window shows current figures; an approved or paid line keeps the amounts it was approved with.
A worked example
Jane Example is a Chatter with an hourly rate of $10.00/h and a 5% commission.
| Item | Amount |
|---|---|
| Hours typed in Edit | 20 |
| Hourly pay | 20 × $10.00 = $200.00 |
| Messages and tips credited to her in Infloww | $2,000.00 gross = $1,600.00 net after the 20% platform fee |
| Of which reversed | $100.00 gross = $80.00 net |
| Subscriptions credited to her | $500.00 gross (not counted) |
| Commission | ($1,600.00 − $80.00) × 5% = $76.00 |
| Bonus | + $25.00 |
| Deduction | − $5.00 |
| Amount due | $200.00 + $76.00 + $25.00 − $5.00 = $296.00 |
On the payroll line, the grey text under her name reads "20h $200.00 · Commission $76.00" and then "Commission on net (Messages, Tips) · Infloww $1,600.00 · Reversed −$80.00". The Bonus / deduction column reads "+$25.00 −$5.00", and Amount due is $296.00.
If a manager then adds a $50.00 credit line for her on People → Sales credits while the week is Pending, her base becomes $1,570.00 and her commission $78.50.
If Infloww credited nobody with a $250.00 gross ($200.00 net) tip on a page where she and one other chatter were scheduled at that time, each gets $100.00 under Shift schedule, and her base grows by $100.00.
If her deduction were $400.00 instead, the total would be below zero, so Amount due shows $0.00.
Statuses
Each payment line has a status:
| Status | Meaning |
|---|---|
| Pending (orange) | Calculated, not yet approved. Recalculated each time you click Refresh calculations. |
| Approved (blue) | Checked and ready to pay. Left alone by Refresh calculations. |
| Paid (green) | Paid, with a paid date. Left alone by Refresh calculations. |
| Skipped (grey) | Not paid this week. Left out of the totals. |
Once a week is generated, its badge follows the lines: Week open (any line still Pending), Week approved (nothing Pending, some Approved) and Week complete (every line Paid or Skipped).
What "Refresh calculations" changes
- People who became eligible get a new Pending line.
- Pending lines are worked out again with the current rules (rates as of the Monday, commission from Infloww and the sales credit lines, posts, weekly salary). The hours, other pay, bonus and deduction you typed are kept.
- Monthly bonuses of closed months that are not paid yet are added to the person's first Pending week that starts after the close. A bonus is added once only.
- Approved, Paid and Skipped lines are not touched.
- Lines are never deleted.
Test checklist
Good to know
- Hubstaff hours can't be changed in the app. Fix them in Hubstaff, wait for the sync (up to 15 minutes) and click Refresh calculations. Approved and paid lines never change.
- If Infloww isn't connected, commission is not recalculated from sales: the base already on the line is kept (a new line gets $0 commission).
