Not in the app yet
Find people who are active in Hubstaff or Infloww but have no employee profile, and add or link them.
What it's for
When someone joins the team, they usually show up in Hubstaff or Infloww first. Not in the app yet lists everyone who is active there but has no employee profile here, so nobody is left out of payroll or the numbers. From each row you either add a new profile or link the account to an existing one.
Before you start
- You're signed in as an Administrator.
- The people sync has run at least once (see Integrations).
Steps
Open the page
On People → Employees, click the banner N employees are not in the app yet (or its Review and add button). The banner only shows when someone is missing. The page is titled Not in the app yet: "Active in Hubstaff or Infloww, but not linked to an employee here."
Add the new people
The card To add (with the count) says "Add opens a new employee prefilled from their Hubstaff or Infloww account." Each row shows the Hubstaff or Infloww logo, the name and the email (or Hubstaff member / Infloww employee when there is no email).
Click Add. The Add employee form opens with that account picked, the name, email, time zone and hire date filled in, and the status Active. Pick the role, check the rest and click Create employee. Cancel brings you back to this page.
Link the people who already have a profile
The card Already in the app? says "These look like an existing employee. Link the account instead of adding a second profile." Each row says "Looks like" followed by the profile's name.
Click Link:
- for a Hubstaff member, it opens Infloww & Hubstaff links, where you confirm the link;
- for an Infloww employee, it opens that profile's edit form, where you pick them under Infloww employee and save.
What you should see
- After you add or link someone, they disappear from this page, and the banner count on Employees goes down by one.
- A person who is active on both Hubstaff and Infloww has two rows: one with the Hubstaff logo and one with the Infloww logo. Add them only once: click Add on one row, then pick their other account in the form (or click Use it on the likely match). Both rows then disappear and the count goes down by two.
- When nobody is missing, the page says Everyone is in the app: "Every active Hubstaff member and Infloww employee is linked to an employee here.", with a Back to employees button.
Test checklist
Good to know
- "Looks like" means the same email, or exactly one profile with the same name.
- Only real accounts are listed. People who left Hubstaff or were deactivated in Infloww are not.
- One person is one employee: link their accounts to the same profile rather than adding a second one.
