Employees
The staff directory, with filters, pay at a glance and who can sign in.
What it's for
People → Employees lists everyone who works for the agency: their role, shift, hire date, current pay, whether they can sign in and their status. It's where you start to add someone, fix a missing link to Infloww or Hubstaff, or open a person's profile.
Before you start
- You're signed in as an Administrator.
- Real staff come from Hubstaff and Infloww. If the list is empty, the people sync may not have run yet (see Infloww & Hubstaff links).
Steps
Open the page
In the menu on the left, click People → Employees. The title is Employees with the text "Profiles, compensation rules and raise history."
Check who is missing
If someone is active in Hubstaff or Infloww but has no profile here, a banner at the top says 1 employee is not in the app yet (or N employees are not in the app yet) with "Active in Hubstaff or Infloww, but not added here." Click Review and add to open Not in the app yet. No banner means nobody is missing.
Read the four number cards
- Active: people with the status Active.
- Onboarding: people still starting.
- Missing pay setup: Active or Onboarding people with no current pay rate (the card turns orange when it is above 0).
- Not linked to Infloww: everyone who isn't Terminated and has no Infloww link.
The cards always count everyone. They don't change when you filter the list.
Filter the list
- The search box Search name, email, phone, Discord… also finds Telegram names and role names. The list updates when you stop typing.
- All statuses: Onboarding, Active, Inactive or Terminated.
- All roles: No role set, or any staff role (including roles you created).
- All shifts: No shift set, or any shift in use.
- Real and test: Real staff or Test data.
- Clear filters appears as soon as one filter is on, and resets them all.
Your filters stay in the page address, so they survive a refresh, the browser's back button and a shared link.
Open a profile
Click a name to open that person's profile. See An employee's profile.
What you should see
The table has the columns Employee, Role, Shift, Hire date, Compensation, Access and Status. On a narrow screen, Role, Shift, Hire date and Access are hidden.
- Employee: the name, and under it the email (or the phone, or the Discord name, or No contact).
- Compensation: one grey badge per current rate, for example $12.50/h, 10%, $5.00/post or $500.00/week. No commission means no commission rule covers today. No pay setup means no rate at all.
- Access: Can sign in, Disabled (access was removed) or No access (no login).
- Status: Active (green), Onboarding (blue), Inactive (grey) or Terminated (red). The list shows Active people first, then Onboarding, Inactive and Terminated, each by name.
Badges next to a name:
| Badge | Meaning |
|---|---|
| Test | A test record, not a real employee (hover: "Test data: not a real employee"). |
| No Hubstaff link, No Infloww link, No Hubstaff or Infloww link (orange) | The person's role needs that account, it isn't linked, and no exception was recorded. |
| Not on Hubstaff, Not on Infloww, Not on Hubstaff or Infloww (outline) | The account is missing, but an exception was recorded on purpose (for example an external contractor). |
The buttons Infloww & Hubstaff links and Add employee are at the right, above the table.
If no one matches your filters, the table says No employees match these filters.
Test checklist
Good to know
- There is no delete button for employees. To retire a profile, set its status to Terminated on the profile (see An employee's profile).
Known issue
Not linked to Infloww also counts people whose role doesn't use Infloww (such as Administrators and Social Media VAs), so it can be higher than the number of real gaps. The orange badges in the table are the reliable list.
