Social accounts and VAs
Add the social accounts VAs post on, give each one to a VA and set a daily target.
What it's for
A Social Media VA only sees the accounts you give them. Here you add the Instagram, TikTok, YouTube and Facebook accounts the agency posts on, assign each one to a VA, and set how many posts a day you expect (the daily target).
Before you start
- You're signed in as an Administrator.
- At least one Social Media VA has an active login (see Access). The VA list shows everyone whose role has My posting, which by default is only the Social Media VA role.
Steps
Open the Accounts tab
Click Operations → Posting, then the Accounts tab. Use the drop-down to show All platforms or only Instagram, TikTok, YouTube or Facebook. Each platform has its logo next to it.
Each row shows the Account (the platform's logo in a circle, then the handle with the platform name below it), its Status (Active or Inactive) and Assigned VAs (daily target): one button per VA with their target next to the name ("–" when there is no target), or "Unassigned".
Add an account
Click Add account. A pop-up window called Add account opens.
- Pick the Platform (Instagram is picked first).
- Type the Handle (for Facebook the field is called Page name). The rule for that platform is
written under the box:
- Instagram: "Use 1–30 letters, numbers, dots or underscores."
- TikTok: "Use 2–24 letters, numbers, dots or underscores."
- YouTube: "Use a @handle (3–30 characters) or a UC… channel id."
- Facebook: "Use the page name or vanity id (up to 80 characters)."
- Leave Active ticked.
- Click Add account.
For Instagram, TikTok and YouTube @handles you can type the handle with or without "@". The app saves it in lower case and shows it as "@handle". Facebook page names and YouTube channel ids (UC…) are kept as typed, without "@".
Edit an account or switch it off
Click the pencil button at the end of the row. A pop-up window called Edit account opens with the same fields. Change what you need and click Save.
Untick Active when the agency stops posting on an account. It disappears from the VAs' pages, and nobody new can be assigned to it.
Give the account to a VA
Click the button with a person and a plus sign on the account's row. A pop-up window called Assignment opens, for example "Instagram @jane.example".
- Pick the VA (the box says "Choose a VA").
- Type the Daily target (posts), a whole number from 0 to 1000. Leave it empty for no target (the box says "No target").
- Leave Assigned (untick to remove) ticked.
- Click Save assignment.
An account can have more than one VA.
Change a target or take an account away
Click the VA's button on the account's row. The Assignment pop-up opens with their current target.
- To change the target, type the new number and click Save assignment.
- To take the account away from this VA, untick Assigned (untick to remove) and click Save assignment.
- To move the account to another VA, pick them in VA and click Save assignment: the old VA loses it.
What you should see
- Messages at the bottom right: Account added., Account updated., Assignment saved. or Assignment removed.
- The VA's name and target appear on the account's row, and the account appears for that VA on the VAs tab.
- The VA sees the account on their My posting page with "Target 5/day" (or "No target").

Good to know
Moving an account to another VA
Open the Assignment pop-up from the current VA's button, pick the new VA and save: the account moves to the new VA. To give an account a second VA, use the button with a person and a plus sign instead.
The VAs tab's empty text says "Invite users with the Social media VA role from Access." In the app the role is called Social Media VA, and logins are created on People → Access.
