Scheduling tasks
Create a scheduling task for a Scheduler, change it, or cancel it.
What it's for
A scheduling task tells a Scheduler what to set up on an account: a feed post, a mass message, a story or a campaign, for which fans, at what time and price, with the caption and a link to the content. The task shows up in that Scheduler's My schedule page.
Before you start
- You're signed in as an Administrator.
- At least one Scheduler has an active login (see Access). The list of Schedulers shows everyone whose role has My schedule, which by default is only the Scheduler role.
Steps
Start a new task
Click Operations → Scheduling, then New task. A panel called New scheduling task opens on the right of the page. If you clicked a Scheduler's button first, that Scheduler is already picked.
Fill in the task
- Scheduler: who does it (the box says "Choose a scheduler").
- Creator: the creator's name, typed in.
- Account: the account handle, for example "@jane.example". Accounts used before are suggested as you type.
- Content type: Feed post (picked first), Mass message, Story or Campaign.
- Audience: All fans (picked first), Free fans, Paid fans, Expired fans or Custom list.
- Scheduled for: the date and time it should go out.
- Time zone: the zone of that time. America/New_York is picked first; you can also pick America/Chicago, America/Los_Angeles, Europe/London, Asia/Manila, Africa/Lagos, Africa/Johannesburg or Asia/Dubai.
- Price (USD): leave it empty for free content.
- Expires (optional): when the content should stop, in the same time zone.
- Content folder link: where the files are, for example a Google Drive link.
- Caption and Notes: the text to post and anything the Scheduler should know.
Save it
Click Create task. The task appears on the board with the status Pending.
Change a task
Click the pencil button on the task's row. A panel called Edit scheduling task opens on the right with the same fields. Change what you need and click Save changes.
If the task is already scheduled, the panel warns: "This task is already scheduled. Tell the scheduler if you change it."
Every save checks that the task's Scheduler still has an active login. If their login was switched off, the panel still shows them under Scheduler, but saving fails with Choose an active scheduler. in a red box. Pick another Scheduler and save again.
Cancel a task
Click the round button with a cross on the task's row. A pop-up asks Cancel this task? and explains "The scheduler will no longer see it as open work. This cannot be undone."
Click Cancel task to confirm, or Keep task to go back.
What you should see
- Messages at the bottom right: Task created., Task updated., or for a task that was already scheduled "Task updated. It was already scheduled: tell the scheduler about the change.", and Task cancelled.
- The time on the board is shown in the task's own time zone, for example "9:00 PM GMT+8" for Asia/Manila.
- The Scheduler sees the new or changed task on their My schedule page. A cancelled task says "This task was cancelled by an admin."
Test checklist
Good to know
A Scheduler who was switched off
When a task's Scheduler has been switched off, Edit scheduling task leaves Scheduler empty and says "… is no longer active: choose another scheduler." Pick an active Scheduler and save.
Known issue: the Notes field holds the history
Each time a Scheduler marks a task scheduled or reports an issue, the app adds a dated line to the task's Notes, for example "[2026-10-22 14:05 ET · Jane Example] Issue: wrong caption". You see these lines when you edit the task. If you delete or change them and save, that history is changed too. Leave them as they are.
Two administrators editing the same task at once: the second one to save sees "This task changed while you were looking at it. Reload and try again." Reload the page and make the change again.
