Scheduling
See every Scheduler's work in one list and follow up on the problems they report.
What it's for
Operations → Scheduling is the scheduling board for all Schedulers. You create scheduling tasks (what to post or send, on which account, when), give them to a Scheduler, and follow them until they are scheduled. When a Scheduler can't do a task, they report an issue, and it shows at the top of this list. To create, change or cancel a task, see Scheduling tasks.
Before you start
- You're signed in as an Administrator.
- At least one person with the Scheduler role has an active login (see Access). Without one, the New task button is greyed out.
- No tasks yet? The page says No scheduling tasks yet and "Create a task and assign it to a scheduler."
Steps
Open the board
In the menu on the left, click Operations → Scheduling. The title is Scheduling, with the line "Create scheduling tasks, assign them to schedulers and follow up on issues."
Read the four number cards
- Open issues: tasks a Scheduler marked as a problem. Orange when there are any.
- Due today: how many of today's tasks are scheduled, for example "2 of 5 done". Cancelled tasks don't count.
- Overdue: tasks still Pending after their planned time. Orange when there are any.
- Active schedulers: Schedulers whose login is switched on.
Pick a Scheduler
Under the cards there is one button per Scheduler, plus All schedulers. A red number on a Scheduler's button shows their open issues. "(inactive)" means their login is switched off. Click a Scheduler to see only their tasks.
Filter the list
- Status: Open (pending + issue) (shown first), All statuses, Pending, Issue, Scheduled or Cancelled.
- Account: All accounts or one account.
- Two date boxes: from and to (the task's own day).
- Search box: "Search creator, account, caption…".
If nothing matches, the page says No tasks match these filters with a Clear filters link.
Read a task row
- When: the planned time in the task's own time zone, for example "Mon, Oct 19 · 9:00 PM GMT+8". A red Expired badge means the expiry time has passed and the task is still not scheduled.
- Account: the @handle, with the creator under it.
- Content: the type (Feed post, Mass message, Story or Campaign), the audience and the price.
- Scheduler: who does it.
- Status: see the table below. For an issue, the Scheduler's last note is shown under the badge.
Issues are listed first, then the soonest tasks.
Follow up on an issue
When a Scheduler reports an issue on a task you created, you get an email titled Scheduling issue: followed by the creator and the account (switch it off in Email settings).
Read the Scheduler's note under the Issue badge. Fix the problem with them, then either:
- change the task (pencil button) so they can schedule it, or
- cancel it (the round button with a cross) if it won't happen.
The Scheduler marks the task as scheduled themselves once it is done.
What the statuses mean
| Status | In plain words |
|---|---|
| Pending | Created and waiting for the Scheduler to do it. |
| Issue | The Scheduler couldn't do it and wrote why. It stays in their list until they resolve it. |
| Scheduled | The Scheduler set it up on the account and marked it done. |
| Cancelled | An administrator cancelled it. This is final. |
Overdue (still pending after its time) and Expired (past its expiry, not scheduled yet) are only warnings: they don't change the status.
What you should see
- The Open (pending + issue) list shows only Pending and Issue tasks, issues first.
- Clicking a Scheduler's button shows only their tasks, and the address keeps your filters, so you can bookmark or share the view.
Test checklist
Good to know
Known issue: you can't correct a task's status
From this board you can only change or cancel a task. You can't mark it as scheduled, reopen it or undo "scheduled". A Scheduler can undo "scheduled" only on the task's own day; after that their page says "Only today's completed tasks can be undone." and nobody can correct it in the app.
Nobody is told about issues
When a Scheduler reports an issue, no message or email is sent. Check this board for the Issue filter or the red numbers on the Scheduler buttons.
To see a Scheduler's own page (their queue, notes and history) exactly as they do, type
/preview/scheduler in the address bar and click their name. See
Preview other roles.
