Getting started
Start here if you use the app as a Scheduler. What you do, how to sign in and how to find your way around.
What a Scheduler does
As a Scheduler, you prepare and schedule the creators' content on their accounts: feed posts, mass messages, stories and campaigns. An administrator gives you this work as scheduling tasks. You schedule the content on the creator's account itself (outside this app). Then you come back to the app and mark the task as scheduled. If something stops you, you report an issue so an administrator can fix it.
In the app you also:
- add content drops to the shared calendar;
- work on other tasks that a manager or an administrator gives you;
- ask for time off, a schedule change, equipment or anything else you need;
- read the agency's guides, training and policies.
Sign in
Open the sign-in page
Open the app. You see the heading Sign in and the line "Enter your email and we'll give you a one-time code." On a wide screen the form is on the right half, and the left half shows the agency's logo and a short silent video of the app (Pause videos stops it). On a phone you see the logo above the form.
Enter your email
Type your work email in Email and click Continue. The button shows Sending code… for a moment.
Get your code
In the real app, the code comes by email, and the page says "We sent a 6-digit code to" your email. In the test app, no email is sent: the code appears on the page in a box called Your sign-in code, with the note "Test app: no email is sent, so the code is shown here. It expires in 10 minutes." Click Open the email to see, in a new tab, the email you would have received.
Type the code
Type the 6 digits in 6-digit code (under it you see Signing in as and your email). Click Sign in.
Rules for the code:
- A code works for 10 minutes, and only once.
- After 5 wrong tries, that code stops working, even if you then type the right one. You see That code is incorrect or has expired. Request a new one.
- To get a new code, click Use a different email or get a new code, then Continue again. The new code replaces the old one: only the newest code works.
- If you ask for too many codes (more than 5 for the same email in 15 minutes), you see Too many codes requested. Wait 15 minutes and try again.
- If the app doesn't know your email, or your access was removed, you see No active account uses that email. Ask an administrator for access.
- Once you're in, you stay signed in on that browser for up to 30 days, unless you sign out.
There are no passwords.
The first page you see
After you sign in, the app opens My schedule: your scheduling work for today. See Read your queue.
The menu
The menu is on the left. It has three groups. On a phone, tap the menu button at the top left to open it. It closes by itself when you tap a page.
| Group | Menu item | What it's for |
|---|---|---|
| Operations | My schedule | Your scheduling tasks, by day and account. Mark them scheduled or report a problem. |
| Operations | My requests | Ask for time off, a schedule change, equipment or anything else, and follow the answer. |
| Operations | Calendar | The agency's shared calendar. You can add, change and delete content drops. |
| Management | My tasks | Other work a manager or an administrator gives you, with a status and comments. |
| Resources | Knowledge | SOPs, training and policies shared with Schedulers. |
That's all a Scheduler sees. Pages like the administrators' Scheduling board, Requests, Clients or Payroll are not for your role.
Your pay
The app doesn't show Schedulers their pay. There is no pay page in your menu. If you have a question about your pay, send a Payroll question from My requests, or ask an administrator.
Light or dark mode, help and signing out
At the bottom left of the menu you see your initials, your name and your role (Scheduler). Click it to open your menu:
- Theme: choose Light, Dark or System (the app follows your device). A tick shows the current choice.
- Help & guides: opens your own guide (this one). The sign-in page also has a Read the guides link.
- Sign out: asks you to confirm, then takes you back to the sign-in page.
If a page is missing
An administrator can change what each role can do (on People → Roles). This guide describes the Scheduler role as it comes. If a menu item from this guide is missing, or a page shows Page not found with the text This page doesn't exist or you don't have access to it., an administrator may have changed your role. Click Back to Heights Analytics to go back to your first page, and ask an administrator.
Emails
The app emails you your sign-in code, a new task, and the answer to a request you sent. The administrator who created a scheduling task gets an email when you report an issue on it. Your agency chooses which of these emails go out, so always check the app too: the status on the page is the source of truth. When something is urgent, tell the person directly as well.
How to use this guide to test the app
- Sign in with the test account for this role (the owner shares these privately).
- Each page has numbered steps, a What you should see list and a Test checklist. Tick the boxes as you go. Nothing is saved; reloading the page clears them.
- Most steps need some work assigned to you first, such as a scheduling task. Each page says who has to create it. If you also have the Administrator test account, you can create it yourself (see the Administrator guide).
- To walk through the whole role in order, use the Test plan.
- If the screen doesn't match the guide, write down the page, what you did and what you saw.
